Please make sure to pay your registration fee within the time frame for the registration type applicable at the date of your registration. If your payment is not received before the deadline the latter fee will be automatically charged. Unpaid registration will not be considered valid until it is fully paid and confirmed.

In case you do not wish to get the membership and have your data passed to EAVLD, contact us, but please note that the amount for registration remains the same (35 EUR will not be deducted from the registration).

*Please note that although Welcome Evening and Congress Dinner are included in the registration fee, you are kindly asked to reconfirm your attendance through online registration form due to capacity reasons.

Participants are kindly requested to reconfirm attendance of all social events in the Online Registration Form. This also applies to the social events included in the registration fee – Welcome Evening and Congress Dinner. Please note that the booking of various tours will be confirmed following payment on a “first come, first served” basis and numbers may be restricted.


The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.


Upon completing the Online Registration Form, each participant will receive the registration overview and email notification confirming the received payment and eventually stating the amount outstanding.


All fees should be paid in EUR (€), free of all bank charges.

As of 6 October 2016 you are kindly requested to make all payments by credit/debit card exclusively or to register on-site. Payment by bank transfer will no longer be available from this date.

Online Payment by Credit/Debit Card

In case of rejected online credit/debit card payment, the delegate is recommended to log into the Online Registration Form and try to process the registration and the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit/debit card issuer/bank first and check if online transactions are not disabled on the credit/debit card. Afterwards, the registration can be processed again.

The final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.


Cancellation of Registration:
Until 31 August 2016 – 50 EUR – administrative fee will be deducted from all refunds
From 1 September 2016 until 6 October 2016 – reimbursement of 50% of the fee will be paid
From 7 October 2016 – no refund can be processed under any circumstances
Cancellation of Other Bookable Items:
Until 6 October 2016 – 20 EUR – administrative fee will be deducted from all refunds
From 7 October 2016 – no refund can be processed under any circumstances

All cancellations must be notified in writing (by mail, fax or email) to the Secretariat according to the following conditions:

  • Cancellation of registration – refer to the conditions above
  • Requests for refunds made after 15 December 2016 will not be considered.
  • For any change of name a fee of 30 EUR will be charged.
  • All registrations received by 20 October 2016 will be included in the list of participants.


Group registrations cannot be processed online under one email address identification; each participant needs to have his/her own profile set up with unique email address. When registering more than one person under one company identity/invoice, please contact the Secretariat to determine the preferred invoicing setting.

Purpose of Processing Personal Data

Statement by Administrator

Data administrator declares that they will collect personal data to the extent necessary to accomplish the intended purpose and may be processed only in accordance with the purpose for which they were collected. Employees of the administrator or other individuals who process personal data under contract with the administrator and other persons are obliged to maintain the confidentiality of personal data, even after termination of employment or work.


The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the event be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
